Subscription
In order to be subscribed to this service, instructors need to be teaching online classes; that is be part of the e-learn system. If one or more of their classes is in the e-learn web site, they will be subscribed automatically to our system.
Note that being part of the e-learn web site is the ONLY way to be able to conduct the pre and post survey, and the procedure to do so is out of the scope of this document.
Evaluation
Two surveys are conducted each semester. The first one is called the PRE survey and is assessed at the beginning of the term. The second survey is called the POST survey and is being conducted toward the end of the term.
The period of time to take both surveys will be specific and announced by email to all instructors several days before the effective period. Attempts to take the survey after or before the announced period will result in an automatic rejection.
The procedure for both surveys goes as follow:
Several days before the period at which the surveys will be available, one or several emails will be sent to all instructors. The number of emails sent wil depend on the number of online classes taught. Each email will have a URL embedded in it whose function form is:
http://moosurvey.kcc.hawaii.edu:2222/131/survey?key=xxxxxxxxxx
The 10 digit number (xxxxxxxxxx) embedded in the URL is a unique key that authenticates the course from which students will take the survey. Hence, if the instructors submitted several classes, they will receive an email for each class.
This email will need to be forwarded to their students in order to take the survey.
It is essential that the whole URL is pasted in the browser so that the key remains untouched. If part of the URL is missing, students will not be able to access the survey.
The key serves for several purposes. When the URL is launched to one's browser, the survey page is requested to the server. The date will be checked first upon the request. If the period to take the survey is over, the user will be notified right away. If the request is made within the allocated period, the survey will be displayed once a second verification is made. This verification will concern the key itself. The server will compare the given key to all the keys in its database. If the key cannot be found, the user will get an notification message claiming the invalidity of the key; otherwise, the survey will be displayed. When the student click on the submit button will all the answers filled out, the server will save the data in a result file since it now knows which class the key corresponds to.
